Adding a Staff Member

In the Admin Portal:

  1. Log in to the Admin Portal and navigate to Staff.

  2. Select Add staff member.

  3. Fill in the staff member’s information:

    1. Name

    2. Phone Number (including country code, e.g., 353 or 44)

    3. Email Address

    4. Role

  4. Click Create. The staff member will receive their Personal PIN and Venue PIN via SMS and Email.

In the POS:

  1. In the POS, click on the Settings icon.

  2. Select Staff Management.

Receiving Credentials

Once a staff member is created or if a staff member's credentials are reset, they will receive their PIN via SMS and Email.

For the Personal PIN:

Subject: Your PIN

Message: Your personal PIN: 3220 (This PIN is to log in to your Driver app if you are set up as a driver or to assign your POS and KDS if you have manager permissions)

For the Venue PIN:

Subject: Your PIN

Message: Your PIN for venue Flame Pizza Ballsbridge: 3737 (This PIN allows you access to the POS to carry out day to day transactions)

Setting Up or Updating Staff Permissions

In the Admin Portal:

  1. Log in to the Admin Portal and navigate to Staff.

  2. Select the relevant staff member.

  3. Click the Permissions tab.

  4. Assign the appropriate POS and Admin permissions as needed.

    Note: Owners always have all permissions.

In the POS:

  1. In the POS, click on the Settings icon.

  2. Select Staff Management.

Permission changes require re-log in.

Once permissions are updated, changes do not apply immediately during an active session. The system loads user permissions at log in. If changes are made while the staff is still logged in, they must log out and log back in to see updated permissions.

Alternatively, in the POS, you can go to Settings then click Clear cache and reload config. This allows permissions to be updated without being required to log out.

Permission-Based Interface Behaviour

The system automatically adjusts what users can see and interact with based on the permissions assigned to them.

On the POS:

  • If the user doesn’t have permission for a specific function (e.g. staff management), the button or option will be greyed out.

On the Admin Portal:

  • If a user lacks permission for certain features (e.g., staff management, services, reports). those options are completely hidden.
